Returns Handling and Parcel Forwarding

How UK Returns Handling Works — A Step-by-Step Guide

Returns are an unavoidable part of selling online. In the UK, approximately £27 billion worth of products are returned each year — and for international sellers without a UK presence, managing those returns efficiently is one of the biggest operational challenges they face. Send2Hub's UK returns handling service takes care of the entire reverse logistics process — from the moment a customer sends an item back to the moment consolidated returns leave our warehouse. This guide explains exactly how it works, step by step.

Step 1 — Set Up Your UK Returns Address

Register for a free Send2Hub account and your dedicated UK returns address is ready immediately — no setup fee, no contract. Your returns address is at our secure warehouse in Stoke-on-Trent:

[Your Business Name] [Your Customer ID]
Send2Hub
Unit 4 Tunstall Trade Park
Brownhills Road
Stoke-on-Trent, ST6 4SE
United Kingdom

Add this address as your UK returns address on Amazon, eBay, Shopify, TikTok Shop or any other marketplace or platform. Always include your unique Customer ID so returns are matched to your account immediately on arrival.

Step 2 — Your Customer Sends the Item Back

When a UK customer wants to return an item, provide them with retrun label with your Send2Hub address details. They then send it to your Send2Hub returns address. From your customer's perspective, they are returning to a local UK address — which improves their returns experience and protects your seller ratings.

Step 3 — We Receive and Register the Return

The moment a return arrives at our warehouse, our automated system receives and registers it — same-day. Every return is immediately logged to your account with a timestamp and the basic details of what has arrived. You receive an email notification so you always know when a return has landed, without needing to chase or ask.

Step 4 — Automated Photography and Condition Assessment

Every returned item is automatically photographed on arrival. The standard service includes one photo of the outer packaging and shipping label — giving you immediate visual evidence of the returned package when it arrived. If you need a more detailed assessment, our inspection service provides up to 10 photographs of the package's contents and condition — so you can make informed decisions what to do with it next.

All photos and condition details appear in your real-time account dashboard the same day — accessible from anywhere in the world.

Step 5 — You Review and Decide What Happens Next

Once you have reviewed the photos and condition in your dashboard, you choose what happens to each returned item. Your options depend on your business type:

Hold in free temporary storage — keep the item in our warehouse while you wait for more returns to arrive before consolidating. Free storage is included for up to 45 days on the Business plan and 60 days on Premium.

Consolidate and re-ship internationally — combine multiple returns into a single outbound shipment back to your home warehouse, supplier or any worldwide destination. Available to all sellers.

Repackage and prepare for Amazon — items assessed as resaleable can be repackaged and prepared to Amazon's requirements, including FNSKU labelling, ready for return to any Amazon fulfilment centre. Standard preparation fees apply.

Re-ship to new UK customers — available exclusively to UK Companies House-registered, UK VAT-registered businesses. Resaleable items can be sent to new UK customers directly from our warehouse.

Dispose responsibly — items that cannot be resold are recycled or disposed of responsibly. Disposal fees apply.

Step 6 — Returns Consolidation

The most cost-effective way to handle returns is consolidation — holding multiple returns in free storage until you have enough to combine into a single outbound shipment. Instead of paying to ship each return individually, you pay one shipping cost for a consolidated box containing all of your returns. This typically reduces international shipping costs by 40–60%.

Our automated platform calculates the combined weight and dimensions of your consolidated shipment instantly — so you can compare carrier rates and see the exact cost before confirming. One shipment, one customs declaration, one tracking number. Learn more on our e-commerce returns management page.

Step 7 — Repacking and International Dispatch

Before dispatch, we check, repack and relabel your consolidated returns to ensure they are correctly prepared for international shipping — including all required export documentation for smooth customs clearance. We declare consolidated return shipments as "Returned Goods" — which means in most cases you can claim Returned Goods Relief (RGR) on re-import to your country. We recommend retaining your original outbound shipping invoices as proof of export for customs authorities.

Your consolidated shipment is then dispatched via your chosen carrier — Royal Mail, Parcelforce, UPS, DHL, FedEx or DPD — with full tracking to your destination. Use our shipping cost calculator to estimate international re-shipping costs before committing.

Frequently Asked Questions

How quickly are returns processed on arrival?

All returns are received and registered on the same day they arrive at our warehouse. Photographs and condition details are uploaded to your account dashboard the same day. You will receive an email notification as soon as a return is logged.

Do I need to generate return labels for my customers?

Send2Hub does not generate return labels. We recommend third party services for generating domestic UK return labels. Your customers can also use any standard UK postal or courier service to return items.

How long can I hold returns before consolidating?

Free temporary storage is included for up to 45 days on the Business plan and 60 days on the Premium plan. For UK-registered businesses, storage can be extended. For international businesses, storage is temporary only and cannot be extended — all items must be shipped before the free period expires.

Can I get a detailed inspection of returned items?

Additional photos are also available. Inspection and photography fees apply — see our pricing page for details.
